Cancellation Policy for Supervision Consultancy Services

At Supervision Consultancy Services, we value your time and the commitment you make to your mental health and/or Clinical Supervision. To ensure a smooth scheduling experience for all clients, we have established the following cancellation policy:

Cancellation Notice:

Clients are required to provide at least 48 hours’ notice if they need to cancel or reschedule an appointment. If notice is not given within this time frame, the full fee for the missed appointment will be charged.

Initial Assessments:

For 90-minute initial assessments, a 50% deposit is required at the time of scheduling. This deposit is non-refundable if the appointment is cancelled or rescheduled with less than 48 hours’ notice.

We appreciate your understanding and cooperation regarding this policy, as it helps us provide the best possible care to all our clients and allows our waiting list to become less full. Appointments:

Sessions take place in person (LN11 0LS) or online, via the Telehealth system Hipaalink (please see their privacy policy https://www.hipaalink.net/privacy-policy/). We also maintain a mutually signed compliant encryption notice with Hipaalink to further protect your online privacy and confidentiality.

Counselling and Post Trauma Session appointments are for 60mins. Clinical Supervision, for 90mins. (In-person sessions), we set an alarm for ten minutes to the hour so that the client has ten minutes to prepare to finish the session and leave the premises on time, as we book clients in succession. If a client is slightly late for their appointment, it will still end at the original finish time.

If the delay is more than 20 minutes, the session will not take place.

Fees:

Fees for sessions are payable by Cash, Bank Transfer or Credit/Debit card (in person session). Invoices can be provided if required. Online payments can be made by Bank Transfer or via a PayPal Invoice.

Where sessions are funded externally, clients are liable for any fees and excesses not covered by their referrer or policy provider.

Therapist Sickness & Incapacitation:

If I am unable to keep an appointment, clients will be contacted by 8am on the morning of their session. If I become incapacitated and am unable to contact clients directly, I have appointed someone to communicate this to all clients.

Online Appointments:

Clients are sent their video link and can access on any appropriate device of their choosing. (There is no need to download the Telehealth system). After clicking on their link, clients go through to a waiting room and I meet them at the time of the appointment.

Headphones are the preferred system in order to safeguard privacy. Clients will need to ensure that the environment in which sessions are undertaken is free and safe from distractions with no other party or parties present or monitoring the session.

Sessions whether in person or online will NOT be recorded by either party.

Social Media Policy:

In order to maintain a professional relationship, boundaries are set in place to protect all parties. Therefore, I am unable to accept ‘Friend Requests’ from clients on my personal social media accounts.

Digital Footprints:

Electronic communication leaves a digital footprint. The Hipaalink System is password protected and has security software installed. Privacy maintenance stops at Supervision Consultancy point of connection and therefore cannot be responsible for any breach from the clients device/s. Every effort is taken to protect the clients’ privacy but technology is fallible and there is always a minimal risk that confidentiality can be compromised or that communication is not completely virus free. Terms & Conditions Agreement:

All clients are provided with a specific workbook (supervisees – a welcome pack book) these contain the disclaimer and terms and conditions agreement which will need to be read and signed accordingly.

NB: Inappropriate behaviour or personal infractions will not be tolerated and will result in the termination of the session with immediate effect. If this should happen, therapists reserve the right to charge in full.
